Tenants and units

Archive or delete a tenant

Archive a former tenant to keep their history, or permanently delete a record entered by mistake. The app refuses to delete a tenant with charges.

4 stepsUpdated

Steps

  1. Step 1: Open Tenants & Units > Tenants and open the tenant's row menu.

  2. Step 2: Choose Archive to hide them from the list and keep their ledger and history. (The tenant's page has Archive Tenant too.)

  3. Step 3: Choose Delete only for a record entered by mistake, with no charges or payments. If the tenant has any, the app says Can't delete and offers Archive instead.

  4. Step 4: For several at once: Select Multiple, tick them, then Delete (n). Tenants that cannot be deleted are taken out of the selection first.

Good to know

  • A tenant who is moving out should be moved out with Move out, not archived; move-out frees the unit, settles the ledger and switches off the gate code.
  • Owners and managers can delete; the Roles tab in Permissions shows who can.
