Bill a tenant by the season or the year

Put a boater or RV tenant on a seasonal or annual plan: one term price, paid up front or in monthly installments, held or at a lower rate off-season.

6 stepsUpdated

Before you start

  • Owners and managers.
  • Turn it on once per facility: Facilities > the facility's menu > Edit > Seasonal & annual billing, then Update Facility.

Steps

  1. Step 1: Open the tenant's page. Under Billing plan, click Change.

  2. Step 2: Pick Seasonal or Annual. Set First day and Last day for the term and the Term price, the total for the whole term.

  3. Step 3: Under Paid, pick Monthly installments (the price split across the term's months) or Up front (the whole price in the first month).

  4. Step 4: For a seasonal plan, under Between seasons pick Holds the space, owes nothing or Monthly rate and enter that rate.

  5. Step 5: Click Save. The card shows what this month owes, for example This month: $100.00 (1 of 6).

  6. Step 6: To renew for next season, open Unit List, tick the units, click Renew plans, pick Same price, Change by % or New price, then Renew.

Good to know

  • The rent run on the 1st follows the plan from the next 1st. Post anything due before then from the ledger with Add entry.
  • A term that is not renewed goes back to month-to-month at the tenant's monthly rate (for a season, from its anniversary).
  • Tenants without a plan are billed monthly as always. With the facility switch off, everyone is billed monthly and plans stay saved.
  • At move-out, the rent, proration and any refund are worked out from the monthly rate, not the plan. The move-out screen says so; check them by hand.
